HoopReel is committed to protecting your privacy. This policy explains how we collect, use, share, and safeguard your information when you use our platform, and the choices and rights you have.
1. Who We Are

It applies to club owners, the GM of the club, coaches, club administrators, contributors, and other registered users of HoopReel. By using the platform you agree to this Policy. If you do not agree, please do not use HoopReel.
2. Information We Collect
We collect the following categories of information:
- Account and profile data: your name and email address, and, if you sign in with Google, the name, email, and profile picture Google shares with us.
- Club information: club name, logo, country, region/city, organisation type, age groups, number of teams, and brand colours you provide during onboarding.
- Content you add: links, uploads, descriptions, tags, and submissions you add to a club library.
- Usage and analytics data: how you interact with content (such as views, time spent, and ratings) and with the platform, used to power club analytics and improve the service.
- Payment information: when you subscribe, payments are processed by Stripe. We do not store full card numbers; we receive limited billing details and your subscription status from Stripe.
- Communications: messages you send us and your email preferences.
- Device and technical data: IP address, browser type, device identifiers, and cookie data (see Cookies, Analytics & Advertising).
3. How We Use Your Information
- Provide, operate, and secure the platform and your club workspace.
- Authenticate you (magic-link email and Google sign-in).
- Process subscriptions and payments through Stripe.
- Send transactional emails (such as welcome and trial reminders) and, where permitted, marketing emails you can opt out of.
- Generate club analytics and improve our content and features.
- Personalise and measure advertising, including retargeting (see Cookies, Analytics & Advertising).
- Detect, prevent, and respond to fraud, abuse, and security issues.
- Comply with legal obligations and enforce our Terms & Conditions.
Where the GDPR applies, our legal bases are: performance of our contract with you, your consent (for example, for marketing and non-essential cookies), our legitimate interests in operating and improving HoopReel, and compliance with legal obligations.
4. Cookies, Analytics & Advertising
We use cookies and similar technologies for essential functions, analytics, and advertising:
- Essential cookies keep you signed in and protect your session; these cannot be switched off.
- Analytics: first-party usage analytics plus third-party analytics providers that help us understand how the platform is used.
- Advertising and retargeting: we and our partners may use cookies and pixels to show you relevant ads on other sites and to measure their performance.
- Embedded content: pages may embed third-party media (such as YouTube and TikTok) that can set their own cookies.
Where required, we ask for consent before setting non-essential (analytics and advertising) cookies, and you can withdraw consent or change your preferences at any time.
5. How We Share Your Information
We do not sell your personal information for money. We share it only as described below:
- Within your club: club administrators and members can see content, submissions, and, where enabled, member-level activity within their own club.
- Service providers who run the platform for us: Supabase (database, authentication, file storage), Vercel (hosting), Stripe (payments), Google (sign-in), Resend (email delivery), and our analytics and advertising partners.
- Legal and safety: when required by law, to enforce our Terms, or to protect the rights, safety, and security of HoopReel, our users, or the public.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets.
California note: sharing personal information with analytics and advertising/retargeting partners may be considered a “sale” or “sharing” under the CCPA. You can opt out; see Your Rights and Choices.
6. Marketing Communications
We send transactional emails needed to operate your account, such as welcome and trial notices. With your consent or where otherwise permitted, we may also send marketing emails. You can unsubscribe from marketing at any time using the link in those emails or by contacting us; you will still receive essential transactional messages.
7. Data Retention
We keep personal information for as long as your account or club is active and as needed to provide the service. After an account or club is deleted, we delete or anonymise the associated personal data within a reasonable period (generally within 90 days), unless we must retain it longer to meet legal, tax, accounting, or security obligations.
8. Data Security
We use technical and organisational measures, including access controls, encryption in transit, and database row-level security, to protect your information. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.
9. International Data Transfers
HoopReel is operated from [COUNTRY], and our infrastructure is provided by vendors including Supabase, whose primary database for HoopReel is located in Singapore. Your information may therefore be processed in countries other than where you live. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for international transfers.
10. Children’s Privacy
HoopReel is built for basketball clubs, whose registered users are typically coaches, administrators, and staff. Some account-holders may be minors.
We do not knowingly collect personal information from children below the age of digital consent in their jurisdiction without appropriate parental or guardian consent. Clubs that allow minors to hold accounts are responsible for obtaining any necessary consents.
If you are a parent or guardian and believe a child has provided us personal information without consent, contact us at privacy@hoopreel.io and we will take steps to delete it.
11. Your Rights and Choices
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access a copy of your data and information about how we process it.
- Correct inaccurate or incomplete data.
- Delete your data (the “right to be forgotten”).
- Restrict or object to certain processing, including direct marketing.
- Receive your data in a portable format.
- Withdraw consent at any time, for example for marketing or non-essential cookies.
- EEA/UK: lodge a complaint with your local data protection authority.
- California: know, delete, and correct your information; opt out of the “sale” or “sharing” of personal information for targeted advertising; and not be discriminated against for exercising your rights.

12. Third-Party Links & Embedded Content
The platform links to and embeds third-party content and websites (such as YouTube and TikTok). We are not responsible for their privacy practices; please review their own policies before providing information to them.

We may update this Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Where changes are significant, we will provide additional notice as appropriate.
